PKP Scope:
Developing project management methodology, processes, procedures, and instructions, preparing project reporting formats, and monitoring dashboards.

Description:

The Karaj Municipality, which is one of the largest municipalities in Iran, oversees more than 700 urban projects each year. This municipality comprises 10 districts, 6 deputy offices, and 11 affiliated organizations, each of which manages numerous projects. Additionally, many projects are jointly defined among the mentioned sub-organizations. Due to the organization’s extensive scale and complex bureaucracy, one of the major challenges it faces is the management and monitoring of projects. Based on its experiences, PKP was chosen to implement a project management system and establish the Project Management Office (PMO).

The scope of work provided by PKP included:

  1. Designing and establishing project management methodology packages for large, medium, and small projects
  2. Designing standard project management templates and processes, along with all key performance indicators (KPI)
  3. Designing and developing processes and templates related to the implementation of “the project management system”
  4. Categorizing the organization’s projects and developing standard WBS and scheduling templates for each type of project
  5. developing standard formats for project control reports and monitoring dashboards, including:
    • Monitoring the physical, time, and cost progress of projects on a weekly and monthly basis
    • Monitoring dashboards tailored to different levels of management in the organization
    • Reviewing the budget and cost status of projects and analyzing the financial performance of subsidiaries.
    • Reviewing the percentage of achievement of the strategic plan and objectives considering projects’ progress
    • Controlling the execution of the contract and the commitments of various project parties
  6. Developing the consultant and contractor assessment mechanism (in the field of project management) used for tendering processes
  7. Developing “Terms of Reference” related to project management for implementing agencies according to the type of project
  8. Developing an integrated project management system for Karaj Municipality
  9. Training all relevant personnel of the client involved in the project management processes

The execution of the aforementioned services enabled the client to maintain continuous and effective monitoring of projects, reduce project management costs, and ensure timely project completion.
